How much does it cost to schedule a conference call?

Scheduling a conference call by email or through your online agenda is completely free

How much does it cost to call into the conference?

From Canada :
The phone number required to call into the conference is 1 778 650 98 98. There is no surcharge for this number. It is included in the plans for fixed and mobile operators.

Overseas :
SoConference is accessible from 37 countries with local numbers with no surcharge. These numbers are often included in the plans of fixed and mobile operators.

Why is SoConference free?

SoConference is a free conference call service. Offering the service for free allows us to promote it more easily.

In the coming months, options such as videoconferencing will become available with subscription.

Our basic conference call service, however, will remain usable with no subscription.

Technical Questions

What is the maximum number of participants?

Each conference call can accomodate up to 100 participants. If you plan to have more than 100 participants, simply notify us in advance.

What is the maximum time allowed for a conference call?

There is no time limit for conference calls, so it may last as long as you wish.

How many conference calls can I set up?

You may organize as many conference calls as you like.

Can I invite participants located anywhere in the world?

Yes. We provide local access numbers from 37 countries.
Each participant can call the local access number of his or her choice.

Are the access codes secure?

Yes. Each time that a conference call is scheduled, SoConference sends each participant a personalized 8-digit access code. These codes will never be redistributed to other.

SoConference users, so maximal privacy for each call is assured.

Organization of conference calls

1/ From your online agenda (recommended)

How do I schedule a conference call with my email calendar?

It’s very simple:

  • Open your online agenda (Outlook, Google Calendar, etc.) and create a new event
  • Provide the date and time of the conference call
  • Invite participants to the conference call by entering their email addresses
  • Add to the list of participants and validate. If your are asked to notify participants, click “Yes”
  • You and all of the participants will immediately receive an email with the date and time of the conference call as well as the phone number and access code needed to join.

Can I change the time for a conference call?

If you change the time of the conference, you must personally communicate the time change to your participants.

I’ve already reserved my conference room. How do I invite extra participants?

To invite extra participants, go into your secure online space by clicking the link provided by email. Click on the icon at the top right of the screen, then enter the emails of the new participants you wish to invite. SoConference will immediately send them an email with the information needed to join the conference.

Can I reuse my codes for more than one conference call?

Yes, your codes can be reused as many times as you wish. They cannot, however, be transferred to any other SoConference user.

Note that if you do not use your online agenda to schedule a conference call you will have to invite participants yourself, as SoConference will not be able to do so.

Hence we recommend that you use your online scheduler each time you set up a conference call.

Which online calendars/email agendas are compatible with SoConference?

SoConference is compatible with Outlook, Gmail Calendar, Apple iCal, iPhone iCal, Android Calendar and Lotus Notes.

If you use another online agenda, please contact us, and we’ll do our best to make our services functional with it.

Is it possible to schedule a conference call without using my online calendar?

Yes, a virtual conference room can be reserved with a simple email (see below)

What’s included in the email sent to participants

SoConference sends the following information to each invited participant:

  • date, time and purpose of the conference call
  • phone number to call at the designated time
  • access code
  • a link with direct access to documents and transcripts related to the conference call

2/ Sending an email

How do I schedule a conference call by email?

It’s very simple:

  • Create a new email
  • Include the date, time and purpose of the conference call in either the suject line or the body of the email
  • Include the email addresses of your participants in the header
  • Add to the list in the header and send the email
  • SoConference will immediately reply to all participants with the phone number and access code for the conference call

Can a conference call be cancelled?

To cancel a conference call that was reserved by email, you yourself must inform all participants of the cancellation.

Can I change the time for a conference call?

If you change the conference schedule, you personally must communicate the new schedule to your participants.

Joining the conference

How do I access my teleconference?

At the designated conference time, simply call the phone number provided to you by e-mail and enter the given access code at the signal.

You may also join the conference directly from your computer (see below).

May I call another phone number than the one given to join the conference?

Yes, you may choose the phone number from anyof those provided by SoConference. Access codes will work with any of these numbers.

How do I join the conference from my computer?

If you have a headset with a microphone and a high-speed internet connection, you can join the conference directly from your computer.

In the email that you received from SoConference under Direct Access, click on “From Your Computer”

Note: to join the conference from your computer, you will need to select Firefox or Chrome as your browser. The service will not function with Internet Explorer.

How do I access SoConference’s interface online?

To access our online interface, simply click the link sent to you by e-mail.

Each link is individualized and secure, allowing us to authenticate users without passwords or access codes.

Document sharing in real-time

Who can share a document?

The organizer has the ability to share documents in real-time with other conference participants.

What document formats are supported?

You may share documents in the following formats:
        - Microsoft Office : Word (doc, docx),Excel (xls, xlsx), PowerPoint (ppt, pptx),
        - Open Documents : odt, ods, odp
        - Plain text: txt, rtf, csv
        - Images: jpg, jpeg, png, gif, bmp, tif
        - PDF: pdf

What do you mean by “real-time?”

The organizer can also point to or highlight sections of the document.

After the conference

Send statistics for the conference

The conference organizer will receive statistics for the conference by email

Send a recording of the conference

If the organizer opts to record the conference, he or she will also receive by email a link through which the recording can be downloaded

The link to the recording of your conference is valid for 6 months

Reusing codes

For each meeting that you organize with SoConference, the code that the organizer receives as well as the codes that we send to each participant are valid as often and for as long as you wish.

Links and documents shared by the organizer and the participants will also remain valid.

However, for increased security, SoConference recommends booking a new conference room for each conference call, especially if the participants change.
